Terms of Reference
Committee Name: South Hams Hash House Harriers (SH4) Mis-Management Committee
Purpose:
The committee exists to ensure the safe and efficient running of SH4
The Responsibilities:
- Ensure that a safe and enjoyable hash takes place in the South Hams every Wednesday.
- Organise social events
- Delegate specific responsibilities to other hashers eg Hash Flash, Words Editor, Haberdashery, Webmaster and others as required
- Manage the bank account: subscriptions and payments
- Review Health & Safety and procedures for Risk Assessment and ensure that guidelines are followed
- Secure appropriate insurance
- Keep records as required eg numbers of runs, H&S information
- Maintain a Website containing information for hashers
- Hold a general meeting (AGPU) once a year to which all hashers are invited
Authority:
- A quorum of 4 committee members must be present in order for decisions to be made
- The committee has the authority to make and implement decisions taken in line with the ethos of the organisation.
Composition:
- The committee will consist of the GM, Hash Cash and On-Sec and up to 3 other active members of SH4
- Committee members are appointed annually at the AGPU. Committee members must be members of SH4
- Committee members will usually serve a minimum of one and a maximum of 3 years unless there are extenuating circumstances. After 3 years members will step down to allow other hashers to take a turn. A member may return to the committee after a year has elapsed if re-elected by the AGPU
- If membership of the committee falls below 4 during the course of a year the committee may co-opt a new member to make up a quorum
Meetings:
- The committee will meet once a month??? Either at a location convenient for all members or via Zoom
- The agenda will be circulated electronically a week before the meeting
- Action minutes will be recorded and published on the Hash Website to ensure complete transparency to all hashers
- Hashers can request items for the committee meeting agenda through the GM or On-Sec
- 4 members must be present in order for the meeting to be quorate.
- Between meetings the committee will communicate through a closed WhatsApp group.
Reporting:
- The minutes of meetings will be made available to all hashers via the SH4 website within 1 week following meetings
TOR Review:
- The Terms of Reference will be reviewed annually following the AGPU
